Venue service terms
Last updated: 15 October 2026
1. About these terms
BookingElf is designed and managed by Urban One (UEN 53138024J), Singapore. In these terms, "BookingElf", "we", "us" and "our" mean Urban One trading as BookingElf. "You" and "your venue" mean the business that uses BookingElf for one or more cafe or restaurant locations. "Guests" means the people who book a table at your venue.
These terms apply when your venue starts using BookingElf. They work together with the written plan confirmation we send you at setup, and with our general terms of service. If they conflict, your plan confirmation applies first, then these terms.
2. Your plan and fees
BookingElf costs $40 a month per location, with every feature included. Venues in Australia are charged in Australian dollars (AUD) and venues in Singapore in Singapore dollars (SGD). No GST or other tax is added.
Plans are pre-paid monthly. We invoice you at the start of each month, and you pay by bank transfer by the due date on the invoice. If an invoice is unpaid, we will remind you by email. If it is still unpaid 14 days after the reminder, we may suspend your booking page and admin access until it is paid.
3. Setup and support
We provide free set up support. We help you configure your tables, opening hours and booking rules, and we provide help guides for staff and owners.
We answer support questions by email at [email protected] and use reasonable efforts to resolve issues, but we cannot guarantee that every issue will be resolved.
4. Your account
You are responsible for all activity under your venue's logins. You agree to:
- give each staff member their own login with the right role
- keep passwords private and remove access for people who leave
- tell us straight away if you suspect anyone has accessed your account without permission
5. Your venue information and bookings
You are responsible for keeping your venue details, opening hours, tables and booking rules accurate and up to date. You agree to honour bookings that guests make through BookingElf. If you cannot honour a booking, you will contact the guest.
You provide the phones, tablets, computers and internet connection your team uses to run BookingElf.
6. Updates and new features
We improve BookingElf over time. New features we add are included in your plan at no extra cost. Where an update may cause planned downtime or a major change to how BookingElf works, we will tell you by email beforehand where we reasonably can. Routine fixes and small updates may happen without notice.
7. Acceptable use
You agree not to:
- use BookingElf for any unlawful, fraudulent or misleading purpose
- copy, modify, reverse-engineer or decompile BookingElf, or use it to build a competing product
- upload or send viruses or any other malicious code
- try to access parts of BookingElf or our systems that are not meant for you, or get around their security
- send guests marketing messages unless they have opted in
8. Guest data and privacy
Your guest records and bookings belong to your venue. We store and process them on your behalf only to provide BookingElf to you. We do not sell them or use them for our own marketing.
You are responsible for your obligations to guests under privacy and marketing laws, including the Australian Privacy Act 1988 and Singapore's Personal Data Protection Act 2012. BookingElf gives you tools to help: a privacy policy on your booking page, a marketing opt-in at booking, and tools to export or delete a guest's data and set how long data is kept.
We protect your data with reasonable security measures. If we become aware of a data breach that affects your venue's data, we will tell you without undue delay.
9. Confidentiality
Each of us will keep the other's confidential business information private and use it only to provide or use BookingElf. This does not apply to information that is already public, or that the law requires us to disclose.
10. Intellectual property
We own BookingElf, including its software, design and documentation. You own your venue's name, logo, content and data. You give us permission to use them only to run BookingElf for you, for example on your booking page and in guest emails.
We will not name your venue as a customer in our marketing without your written permission.
11. Cancellation and ending the service
There is no minimum term. You can cancel at any time by emailing [email protected]. Your plan runs to the end of the month you cancel in, and you are not billed after that. We do not refund part months.
Your venue's data stays available to export for up to 3 months after you cancel. After that, we delete it.
We may end the service:
- for any reason, by giving you at least 30 days' notice by email
- if you seriously breach these terms and do not fix the breach within 7 days of our email
- straight away, if you use BookingElf unlawfully or your business becomes insolvent
If we end the service, the same 3-month export period applies. Obligations that arose before the end date continue after it.
12. Disclaimer
BookingElf is provided "as is" and "as available". To the extent allowed by law, we do not promise that it will always be available, uninterrupted or error-free. BookingElf helps you take and manage bookings. You remain responsible for running your venue, including how many guests you can seat and serve.
13. Limitation of liability
To the maximum extent permitted by law, we are not liable for any indirect or consequential loss, including lost profits, lost revenue, or lost or incorrect bookings, or for the conduct of guests or anyone else at your venue.
Our total liability to you for all claims related to BookingElf is limited to 480 in the currency you are billed in (AUD 480 or SGD 480).
Nothing in these terms excludes or limits any liability that cannot be excluded or limited by law, including your rights under the Australian Consumer Law.
14. Indemnity
You agree to cover us for any claims, losses and costs, including reasonable legal fees, that arise from your breach of these terms, your breach of any law, or a guest's claim about your venue's premises, food, drinks or service.
15. Events outside our control
Neither of us is responsible for delays or failures caused by events outside our reasonable control, such as natural disasters, pandemics, war, or failures of internet or hosting providers. This does not affect your obligation to pay invoices.
16. Changes to prices and these terms
We will email you at least 30 days before a price change or a material change to these terms applies to you. If you do not agree, you can cancel before the change takes effect.
17. Notices
We send notices to the email address you gave us at setup. You can send notices to [email protected].
18. Governing law
These terms are governed by the laws of the Republic of Singapore. Any dispute about them is subject to the exclusive jurisdiction of the courts of Singapore.
19. General
- These terms do not create a partnership, joint venture or agency between us.
- You may not transfer your rights under these terms without our written consent. We may transfer ours to a business that takes over BookingElf, and we will tell you if we do.
- A person who is not a party to these terms has no right under the Contracts (Rights of Third Parties) Act 2001 to enforce them.
- If any part of these terms is found to be invalid, the rest still applies. If we do not enforce a right, we have not given it up.
- These terms, your plan confirmation and our general terms of service are the entire agreement between us about BookingElf.
